What the Booking Agent Is
The Booking Agent is an AI agent that accepts booking requests for your hotel — by phone and in the chat on your website. It understands natural language, knows your rooms, rates, and availability, answers all kinds of questions, and guides your guest through the booking process. No hold music. Outside reception hours. No extra workload for your team.
How deeply the agent can book depends on the systems you have in place. With some integrations, the agent guides the guest all the way to a confirmed booking — including payment via a secure link when a prepayment is required. With other systems, the agent clarifies availability, occupancy, and suitable rooms, then hands the guest off with a pre-selected booking link to your booking engine. The guest just needs to complete the booking there. Either way, direct bookings happen — even when nobody could answer the phone.
How the DialogShift Booking Agent Handles Bookings
Whether by phone or chat — the process is always the same for your guest and feels like a conversation with a friendly reservations agent.
In three simple steps:
- Travel dates. The AI agent asks for check-in and check-out dates.
- Room and rate. For each room, it clarifies occupancy including children and their ages, and suggests room categories. The guest then selects their rates. Multiple rooms can be booked in sequence. The hotel decides from which group size the AI should transfer directly to the team instead.
- Booking completion. Depending on the connected system, the agent completes the booking directly — or the guest receives a link to finish the booking with one click. Please note that AI cannot process payment data. If payment details are required, the guest is redirected via link to the appropriate page where they can enter them.
In chat, the guest sees available rooms as a carousel with room image and price. By phone, the link arrives via WhatsApp or SMS to their mobile. If someone calls from a landline, the AI agent briefly asks for their mobile number — and optionally their email address for the booking confirmation.
What happens if an email address on the phone is difficult to understand? The agent completes the booking anyway and creates a task for your front desk to follow up on the address later. No booking is lost.
